Business AI purchasing goes wrong in a predictable way: a department buys a tool, another department buys an overlapping one, and nobody measures whether either saved time. This ranking is ordered by how reliably each tool pays for itself.

Selection criteria

We weighted four things: whether it integrates with systems companies already run, whether it has real admin and security controls, whether the pricing scales sanely per seat, and whether the time saved is measurable rather than theoretical.

The ranking

1. Microsoft 365 Copilot - for teams already on Office

If your company runs on Microsoft 365, this is the lowest-friction option: it works inside the documents, emails and meetings you already have.

$30/user/mo on top of your existing licence, which is the highest per-seat price here and only defensible if it saves real time daily.

2. ChatGPT Business - for creative and content teams

The most versatile per-seat option, with admin controls and data handling appropriate for a company. Covers writing, research, analysis and images.

$25/user/mo, billed annually.

3. Claude for Work - for writing and document analysis

The strongest option for teams that produce serious written output or work through long documents. Also the one to pick if engineers will use Claude Code.

4. Notion AI - for knowledge management

Only valuable if your knowledge already lives in Notion, but then AI search reads across everything the company has written and cites its sources.

Included in Notion Business at $20/user/mo yearly.

5. GitHub Copilot Business - for development teams

The cheapest and most widely adopted coding assistant, with repository and pull request context no competitor matches.

$19/user/mo.

6. Grammarly Pro - for professional communication

Its one genuinely irreplaceable feature at company scale is brand guideline enforcement across everyone’s writing. The corrections themselves are increasingly commodity.

Note a recent change: there is no separate Business plan any more. Premium and Business were merged into Pro, which now covers teams of up to 149 members. Above it sits the Superhuman Suite at $33/member/mo yearly, but that adds a mail client and a docs app, so it only pays off if you will use them.

$12/member/mo yearly, $30 monthly.

7. Jasper AI - for marketing teams

Brand voice and campaign workflows for teams producing marketing copy at volume.

From $49/mo.

8. ElevenLabs - for audio and video content

Narration, voice cloning and multilingual dubbing. For companies producing training or marketing content in several languages, the dubbing alone justifies it.

9. Perplexity for Teams - for research and market analysis

Cited sources on every answer. For competitive research, regulatory work and anything that ends up in a decision document, the audit trail is the product.

10. Synthesia - for training and internal video

Turns a script into a presenter-led video, with LMS export and cross-lingual voice cloning. Its real advantage is that revising a video means editing text.

How to choose for your company

Start from the suite you already pay for. If you are a Microsoft company, evaluate Copilot first. If you are a Google company, evaluate Gemini first. The integration usually beats a better standalone tool.

Buy per problem, not per department. Overlapping subscriptions are the single biggest source of waste here. Before approving a tool, check what the licences you already hold can do.

Pilot with ten people, not two. Two enthusiasts will always report that a tool is transformative. Ten people give you an honest adoption rate.

Check where the data goes. Ask about training on your inputs, data residency, and whether the vendor holds the certifications your industry requires. Several popular tools have those certifications in progress rather than achieved, which is not the same thing.
